Volunteer sign up sheet template with time slots

What it is

A volunteer page for a made-up park clean-up, the Saturday about four weeks from today, with set-up the Friday evening before. Eight shifts, from the welcome table to the pack-down crew, each show the time, how long it is, what it involves, who has signed up and how many spots are left, as dots that fill. Volunteers filter by day or by shifts with room, add one shift or several, and join a waitlist for a full one. The page says when two of their shifts overlap, counts their hours, and takes a group of up to six, each taking a spot. After signing up they can download their shifts as a calendar file, change them or cancel. The roster copies as text, and printing gives a paper sheet with blank lines for the open spots.

Who it's for

Organisers of volunteer days, school fairs, club rotas and community events who need people in time slots, not just names on a list.

What you can change

You ask in plain words. These are the kind of changes people ask their AI for:

  • “Make it our school fun fair on May 9: a bake sale, games stalls and tidy-up, in one-hour slots from 10am.”
  • “Clear the sample names so every shift starts empty.”
  • “Ask each volunteer for a T-shirt size.”
  • “Let people sign up for one shift only.”
  • “Change the colors to our club's navy and yellow.”

How to make it yours

  1. Remix it. A copy lands in your library as a site of your own, at its own link. If you have no account yet, you are asked to make one, and the copy is made when you come back.
  2. Change it in Claude or ChatGPT. Add the Solta connector once, then ask for the change in plain words, for example: “Make my Sign up sheet our school fun fair on May 9, in one-hour slots from 10am, and clear the sample names.” It reads the site's code, makes the change and saves it as a draft. The link keeps showing the old version until you publish.
  3. Publish. Ask it to publish, or publish from the site in your library. The new version goes live at the same link, so nobody needs a new one.
  4. Turn the form on. This template posts each volunteer's name, email and phone, how many of them are coming, their shifts and waitlists, their hours and a note to /_solta/forms/volunteer. In the site's Site settings → Forms, switch that form on; until you do, nothing is kept. Collecting answers is on every plan (how forms work).

Questions

Where do the sign-ups go?

The page posts each one to /_solta/forms/volunteer, at its own address. Turn that form on in Site settings → Forms and every sign-up lands in the Answers tab, with a CSV button. Until you do, a sign-up stays on the volunteer's device and the page tells them so. Collecting answers is on every plan: Free keeps 100 answers a month for 30 days and emails you a daily digest; Pro and Team can email you each one.

Do the spots left go down when someone signs up?

On the volunteer's own device, at once. For everyone else, the names are written into the page: add new ones from the Answers tab, or ask your AI to, and publish again at the same link. Spots that every sign-up counts down for everyone need shared saved data, which is on Pro and Team; see Saving data.

Can I keep it to our members?

Unlisted keeps it out of search on every plan; a password is on every plan, and inviting people by email is on Pro and Team.

Or start from what you already have

Paste the file your AI made, or publish it from the chat, and get a link of its own.
